How to Get More Water Customers to Pay Online

Online payment saves rural associations envelopes, postage, and hand-posting, but only if members actually adopt it. Here's how to drive portal sign-ups and online payment without alienating members who still want paper.

Offering online payment and getting members to use it are two very different things. Plenty of small water systems switch on a payment portal, announce it once, and then watch most members keep mailing checks. The portal exists; adoption doesn’t. And without adoption, you don’t get the payoff, fewer envelopes, fewer hand-posted payments, faster cash, fewer “did you get my check?” calls.

Here’s how rural associations actually move members online.

Make the first sign-up effortless

The biggest drop-off is the very first login. If enrollment takes six steps, requires a code mailed separately, or asks members to create yet another password they’ll forget, most won’t finish. Reduce the friction:

  • Let members enroll with information they already have, account number and a detail from their bill.
  • Make it work on a phone, in a browser, with no app to download.
  • Keep the first payment to a few taps.

Every extra step is a member you lose to the mailbox.

Put the portal in front of members repeatedly

One announcement isn’t a rollout. Members adopt what they’re reminded of:

  • Print the portal URL on every bill. Not just once, every cycle.
  • Add a line at the counter and on the phone greeting. “You can pay online at…” said a hundred times actually works.
  • Send a bill-ready notification by email or text with a link straight to payment.

The associations with high online adoption aren’t lucky, they mention the portal everywhere, every month.

Lead with autopay

Autopay is the single highest-leverage thing you can promote. A member who sets up autopay once stops being delinquent, stops calling, and stops needing reminders forever. Pitch it as the convenience it is: “Set it once and never think about your water bill again.” Every autopay enrollment is a recurring win for both sides.

Make paperless an easy yes

Pair online payment with a paperless billing option, and frame the savings honestly: it saves the association postage and printing, and members get their bill faster. Don’t force it, but make it a one-click choice in the portal for members who are ready.

Don’t abandon the members who want paper

Push too hard and you’ll alienate the exact members rural systems serve. The goal isn’t to eliminate paper overnight, it’s to make online the easy default while keeping mail and in-person options open. Members who want a paper bill and a check should still be able to pay that way without friction. Adoption grows fastest when going online feels like an upgrade, not an ultimatum.

Measure it so you can improve it

You can’t grow what you don’t track. Watch two numbers: how many members have portal accounts, and how many pay online each cycle. If the numbers stall, look at where members drop off, usually it’s the first sign-up. Small fixes to enrollment often move adoption more than any announcement.

Where Aazly fits

Aazly is built to drive adoption, not just offer a payment button. Members enroll quickly with what’s already on their bill, pay by card or ACH on any phone with no app download, and set up autopay and paperless billing in a couple of taps. The portal is branded as your association so members trust it, every online payment posts to the right account automatically, and your board can see exactly how many members have accounts and how many pay online, so you can watch adoption climb cycle over cycle.

Offering online payment is table stakes. Getting members to use it is where the time savings actually show up, and that comes down to easy sign-up, constant reminders, and leading with autopay.
